Sexual assault tracking for colleges

Clery act reporting for collegesThe Penn State sexual abuse scandal has really raised the awareness about the need for sexual abuse services on college campuses.  Most people don’t know about the Jeanne Clery act which also known as the Crime and College Security Act of 1990.   She was a freshman at Lehigh University when I was a Senior.  Much like the shuttle disasters and 9/11, I can tell you were I was and what I was doing at the time  that I heard the news.  Once again Pennsylvania is in the spotlight, but colleges around the country are waking up the the fact that they need to do more for student safety and they also need a way to keep track of the problem.

AdvocacyPro specifically for college assault tracking will be available in early February 2012.  The system is simple enough that a small private campus can run it without a separate administrator or dedicated server.  It’s also scaleable to support a state college system with multiple campuses.  The system provides tracking for both sexual and physical assault.  Reporting for fires is also provided to comply with Clery Act reporting requirments.  Some of the original clinical and medical sections are not included in the base package, but are available for campuses which may have medical facilities to do physical exams.

Incidents can be tracked across multiple campuses, buildings and public areas.  Additional support is available for maps integration if locations are geocoded.

Charting Support

AdvocacyPro now supports charting support for a variety of custom case management dashboards.  Charts can be added to all AdvocacyPro version.

Free Case Management Sofware

I periodically get requests for free case management software.  The issue presents some logistic and economic challenges so I haven’t gone down this path up until now.  Over the next couple months I am hoping to  create free versions for several versions of advocacy pro.  Certain functions will be limited but most smaller agencies could use the system for several months before needing to upgrade.  The intent is that the full version upgrade would be a monthly subscription that would be within the reach of most agencies.

In order to use the system you must have a Window’s server you can use as a web server.  Just about any size box will do.  You could have an old Windows NT box and this will work fine.  Anything running IIS will work.  In theory you could run it on a shared web hosting account.  Technically it works, but this is not the most secure solution.  Having someone who knows how to use IIS is also a plus, but not a requirement.  As long as I can have remote access to your environment I can set you up, but this isn’t free.

The free version is intended for a single organization configuration, but if you are part of a network, I can give you the multi-site configuration.  The system was designed to support multiple agencies and consolidation of reporting for state agencies.

Versions will be available for vocational services, domestic abuse, child advocacy centers, missing persons, and youth services.  Note these are somewhat stripped down versions so there are functions that might be missing or that work differently than you would like.  While using the free versions you are welcome to submit suggestions for changes and you will get free upgrades as they are produced.  Changes from paid users take precedence but I may be make changes from free users as time allows.  The hope is that you will get enough value from the free version that you will want to upgrade in the future.

As a user of a free version you agree to not alter or distribute the software.   But feel free to tell others about it.  I’m hoping to build in a referral component so you earn credit toward the paid version if other agencies you refer sign up with a paid version.

Missing Persons

AdvocacyPro for missing persons is a state level system originally designed for the State of New York for managing their missing children.  It can be used internally, or cooperatively by other agencies and local police departments.  There is also an optional module for showing missing children on a public web site.

The system is designed to do intake on reports of missing children and other persons, as well as conduct periodic followups.  All records are geo-coded so you can look for trends.  The system is designed to track the missing children, but parent and abductor records are also included.  These can be cross referenced across multiple cases.

Vocational Services

AdvocacyPro for vocational services was originally designed around the needs of the adult deaf population.  It can be modified for any special needs population.   The web based software can be used by a single non-profit agency or for an entire state with multiple locations.   The system is designed to allow multiple agencies access to the same client pool.    All users have a unique login and then system supports multiple levels of security.   One instance of the software can support users in multiple offices.  Information can be shared between offices, or restricted depending on on client preferences.

Vocational case management

The dashboard and navigation are configurable based on needs of the organization.  Optional modules for resource directories, useful links, schools, police agencies, discussion forums, etc.  can be configured as needed.  The dashboard can be modified to show current statistics, unassigned cases, or other functions based on user needs.

The case record can include different components.   Each record can include specifics about client needs – degree of loss in the case of blindness or deafness, level of functioning, independence, living situation, employment, etc.

Each client record has a variety of subsections.  There are individual sections for case contacts, document uploads, time tracking, job placements, referrals, etc.  The vocational services version has additional tracking for funding allocations.  Since each client may be funded by different agencies, allocations are tracked for each program and client.  Different rules can be set to expire funding allocations by dollar amount, date, or not at all.  funding allocations can be individually assigned or grant funded.

Reports can be automatically generated on a per office basis.  If being used by an entire state, reporting can be aggregated at the appropriate level.  Reports can be displayed as a web page, exported to excel, or as a word document.  (PDF is a future planned enhancement).  Charts and maps display using google maps is also supported.
